Roles/responsibilities / Customer service:
Coordinate with other Automated Practice Support (APS) and IS staff including database coordinators, electronic discovery specialists, trial support specialists and lit support vendors. Directly responsible for managing litigation cases for attorneys and paralegals. Must interact with legal teams on a regular basis. Provide information and direction regarding case setup, database design, imaging, electronic discovery and other litigation support. Perform relevant telephone and desk side support on litigation support software and hardware. As required, liaise between department management, sponsors, users, vendors and other IS personnel to communicate issues regarding lit support. Where appropriate, attend user groups independently or with senior managers and make recommendations of how improvements can be made.
Technical support:
Must be able to design and maintain spreadsheets, graphics and presentations. Responsible for importing and exporting databases and image collections. Able to setup and support hardware required by the legal teams (e.g. trial support). Develop and maintain instructional material for applications used within the group and provide user training on these applications. Evaluation of new litigation support products/applications deemed to be appropriate to the firm’s business. Ensure preventative maintenance on lit support databases and related applications for assigned matters is regularly planned and implemented.
Planning & organization:
Understand workflow and demands of current projects and work with the coordinator to establish delivery deadlines for in-house projects. As required, participate in the development of RFP/RFI documentation for vendor selection. Contribute to the development, analysis and recommendation of vendors based on prioritized evaluation criteria. Create and manage strategic vendor relationships. Adhere to all APS, IS and user quality assurance practices. Ensure that risk assessments are made before all changes take place. Participate in any projects that the firm may require in order to meet its business goals. Other duties as assigned.
Communication:
Participate in a good proactive working relationship within APS, other teams within the IS department and the users. Ensure that the assigned case team members are aware of lit support software and hardware downtime, preventative maintenance, security patch updates and software upgrades. Comply with the IS department’s reporting and escalation procedures using the Infra system.
Administration:
Ensure that department procedures are adhered to regarding the use and storage of client data and files. Follow departmental procedures regarding requests for time off and notification of unscheduled absences. Track time and enter time into the accounting system in a timely manner. Provide updates of case activities using in departmental database. Maintain client files.
Personal Profile / Personal skills:
Proven ability to work under pressure and meet strict deadlines. Organizational skills and thorough by nature. Excellent written and oral communication skills and a keen level of attention to detail. Must be client-focused with the ability to develop good relationships.
Experience required / Computer skills:
5+ years of working with Microsoft applications. 3+ years of working with litigation support software including Concordance, LiveNote, CaseMap, TimeMap and Sanction.
Commercial skills:
5 years related work experience preferably in a law firm. Excellent understanding of the Firm’s goals and objectives. Ability to conduct and direct research into APS issues and products as required. Ability to perform general mathematical calculations for the purpose of creating business cases, budgets, etc. Proven analytical, evaluative, and problem-solving abilities. Ability to effectively prioritize and execute tasks in a high-pressure environment.
Qualifications / Education:
Bachelor’s degree or comparable business or legal experience.
