CONCORDANCE EX'S PERSISTENT TAGS AND iCONECT

Several users have recently contacted us about using the new "Persistent Tags" feature from Concordance EX with iCONECT. This document runs through the various steps that need to be completed in order to utilize this feature through iCONECT.

WHAT'S A PERSISTENT TAG?
-------------------------------
Dataflight's new Concordance EX introduces a new level to their tag management feature. Previously, when you removed all the occurrences of a tag from the records in the database, the tag itself would cease to exist.

Persistent tags change this architecture to allow for "empty" tags in your databases, providing an easy way for administrators to create full tag sets in advance of any review process.

MAKING A REGULAR TAG INTO A PERSISTENT TAG
-------------------------------
By default in Concordance EX, any tags you create are not persistent (and therefore any folders you create through iCONECT are also not persistent). In order to convert a regular tag into a persistent tag, the administrator must open the database in Concordance EX and then open the "Tag Management" window. Once there, select the "Persistent Tags" tab, and then check any tags from the database that you wish to make persistent (or click the "Select All" button). Without this conversion to a Persistent tag, any regular tag that does not have at least one record associated with it will "disappear".

If you are migrating databases from a previous version of Concordance, your administrator will need to follow the instructions above to convert existing tags to Persistent tags. Additionally, if you wish to regularly use Persistent tags, it is recommended that the administrator make a habit of routinely checking the database to see if any new tags have been added, and then make these new tags persistent.

Persistent Tags are written to a specific database's "ini" file. This text file can be viewed by double clicking on it (located in the same directory as the database.dcb). This file can then be manually edited with any text editor to bulk load Persistent tags.

DISPLAYING PERSISTENT TAGS THROUGH iCONECT

iCONECT's new V4 program fully respects Persistent tags. In fact, you can even create new Persistent tags right from the folder window without having to open Concordance EX!

This is just another example of how we're working closely to create a seamless experience.

Please note: Versions of iCONECT up to 3.7 were designed to not show empty folders, and this may be an issue for users who are planning to utilize Persistent tags. Once a Persistent tag has been "unchecked" on all records to which it was associated, it will not be displayed in iCONECT even though it will still exist in the database.

If you are planning to add Persistent tags to your document review process in version 3.7 of iCONECT, please contact iCONECT's technical support staff <mailto:support@iconect.com> to obtain a patch that will display Tags and Persistent tags in the folder window.
